01 About this policy
This policy explains how Sync E-Card handles information when you use our website, digital business cards, QR and NFC features, subscriptions and related services. It also covers visitors who view cards, send enquiries, request appointments or share their details with a card owner.
For questions or privacy requests, email info@syncecard.lk. Our offices are at 109/4 Manning Pl, Colombo 00600, Sri Lanka, and Level 36, Gateway, 1 Macquarie Place, Sydney, NSW 2000, Australia. For Australian enquiries, email info@syncecard.com.
02 Information we collect
- Newsletter: if you subscribe, we store your email address, consent and confirmation dates, subscription status and email delivery records. Newsletter delivery begins after email confirmation. Each newsletter includes an unsubscribe link.

- Card content: profile details, photographs, social links, services, products and other information you choose to upload or publish.
- Visitor submissions: names, contact details, consent choices, enquiries, contact-save submissions and appointment information.
- Orders and payments: subscription selections, delivery details, payment references, uploaded payment receipts and order or fulfilment records. Affiliate participation may also involve referral, commission, withdrawal and payout details.
- Usage and security information: card views and interaction events, request times, IP addresses, browser information, session records and activity logs where collected by the service.
- Support messages: information you provide when contacting us.
Please avoid uploading identity documents, financial details or other sensitive information unless specifically necessary for the requested service. Payment receipts may contain personal or banking information; include only what is needed to verify payment.
03 How we use information
We use information to create and secure accounts; publish and manage cards; deliver contact downloads, enquiries and appointments; process subscriptions, payments, orders and payouts; provide activity reports; answer support requests; prevent abuse; and maintain the service.
We also send service-related messages such as password recovery, appointment updates and billing or order notifications. Optional communications are subject to available preferences and any consent required by applicable law. The legal basis for processing depends on its purpose and the law that applies, including providing a requested service, consent, legal obligations and legitimate interests where permitted.
04 Public cards and visitor details
Information published on a public card can be viewed, copied, downloaded, shared or indexed by search engines. Share only information you are entitled to make public. QR codes and NFC cards can direct other people to that public page.
When you submit an enquiry, appointment request or contact details through a card, that information is made available to the card owner so they can respond. Card owners are responsible for their own subsequent use of those details and should explain their own privacy practices. Contact the owner directly about their follow-up or records; contact us about the platform's handling of your information.
Unpublishing or deleting content cannot automatically remove copies already saved by visitors, search engines or other services.
07 Retention and security
We retain information for as long as reasonably necessary for the relevant service, account administration, transaction records, dispute handling, security and legal obligations. The period depends on the type of information and the reason it is held. Records subject to a legal obligation or unresolved dispute may need to be kept after an account is closed. Backup copies may remain until the applicable backup cycle replaces them.
We use access controls, password hashing, session protections and other technical measures to protect information. No website, transmission method or storage system can guarantee absolute security. Keep your credentials private and tell us promptly if you suspect unauthorized access.
08 Your choices and requests
You can edit available account and card details through your dashboard and manage available notification preferences. To request access, correction, deletion, account closure, withdrawal of consent or other rights available under applicable law, email info@syncecard.lk. Explain the request and the account or card involved without sending your password.
We may need to verify your identity and clarify the request. Some requests are subject to legal exceptions, required transaction records or the rights of others. Withdrawing consent does not invalidate processing already lawfully carried out. If the information is held independently by a card owner or another service, you may also need to contact them.
For information about Sri Lanka's personal data protection framework and available complaint channels, visit the Data Protection Authority of Sri Lanka. Your rights and available remedies depend on the provisions applicable to your circumstances.
09 Children and personal information
The service is intended for professional and business use. Do not create an account if you cannot enter into a binding agreement under the law that applies to you. Do not submit a child's information without the authority and safeguards required by applicable law. If you believe a child has provided information inappropriately, contact us so we can review it.
10 Changes and contact
We may update this policy as the service or applicable requirements change. The latest version and its update date will appear on this page. Where required, we will provide additional notice of material changes.
